1. Agreement and eligibility
These Terms of Service form an agreement between you and X Systems, a business registered in the Netherlands. They apply when you access or use the Horizon Management website, sign in with Discord, complete account setup, invite or interact with the connected Discord bot, configure a server, use AI-assisted tickets, or use any related feature. Together these are called the Service.
By using the Service, you confirm that you have read and accepted these Terms and the Privacy Policy. If you use the Service for a Discord server, organization, or other legal entity, you confirm that you have authority to act for it.
You must be at least 13 years old and must also meet Discord's higher minimum age where one applies in your country. If you are not old enough to agree to these Terms independently, a parent or legal guardian must agree on your behalf where permitted by law.
If you do not agree, do not use the Service.
2. What the Service does
The Service provides a Discord bot and website dashboard for server configuration and management. Available features can include server permissions, moderation, automod, infractions, tickets, AI-assisted support, transcripts, staff shifts, activity waves, sessions, in-game and ER:LC logging, verification, welcome messages, leveling, economy, giveaways, suggestions, feedback, counting, server statistics, sticky messages, anti-ping controls, promotions, event logs, blogs, update notices, and related tools.
Features depend on the deployment, bot permissions, Discord availability, server configuration, third-party APIs, and ongoing development. A feature shown in documentation, an announcement, or the dashboard may be changed, limited, temporarily unavailable, or removed.
The Service is a tool for server owners and communities. X Systems does not run, endorse, or supervise every Discord server that installs the bot and is not responsible for a server's own rules, staff decisions, content, or member conduct.
3. Accounts, sign-in, and security
The dashboard uses Discord OAuth. You are responsible for protecting your Discord account, devices, sessions, and any account used to administer a server. Do not share session cookies, Discord credentials, API keys, bot tokens, or access with an unauthorized person.
You are responsible for activity performed through your authenticated account unless you reported unauthorized access promptly and the activity was outside your reasonable control. You must provide accurate information, use only accounts you are permitted to use, and keep your Discord permissions and server roles appropriately restricted.
We may revoke sessions, require a new login, restrict an account, or request reasonable verification when we detect suspicious activity, a security incident, a permissions change, or a legal or policy concern.
4. Server owners, administrators, and permissions
Discord server owners and authorized administrators control how the bot is used in their community. They are responsible for:
- having permission to invite and configure the bot;
- giving dashboard and bot access only to trusted roles and users;
- choosing appropriate channels for logs, moderation records, tickets, and transcripts;
- informing members when message content, logs, ticket transcripts, or AI processing are used where required by law or community rules;
- reviewing automated actions and AI-generated replies before relying on them for important decisions;
- using moderation, verification, staff, and logging tools fairly and lawfully; and
- deleting or correcting server-controlled records when appropriate.
A role granted access to Configure, Staff Management, Server Management, or another privileged feature may be able to change settings, view records, manage sessions, read transcripts, or trigger actions. Server owners accept the risk of their own role and permission configuration.
5. AI-assisted tickets
Server administrators may enable AI-assisted replies and summaries in ticket channels. When enabled, ticket messages, limited recent conversation history, configured server information, administrator-written support notes, user and ticket identifiers, and an attached image where applicable may be sent to OpenAI to generate a response. When a ticket closes, part of the transcript may be sent to generate a summary.
By using an AI-enabled ticket, you instruct the Service to process the information you submit for that support interaction. Do not submit secrets or unnecessary sensitive information. Server administrators should clearly disclose AI use to their members and should not enable it for a purpose that requires a level of confidentiality or professional judgment the Service cannot provide.
AI output is assistance, not authority. It may be inaccurate, incomplete, outdated, or inappropriate. It is not legal, medical, financial, employment, safety, or emergency advice. Do not rely on it for high-impact decisions. Request human review when the answer matters.
The Service may refuse, limit, or stop AI replies for safety, abuse prevention, rate limits, provider availability, missing configuration, reply limits, or escalation to human staff.
6. API keys, credentials, and third-party integrations
Some integrations, including ER:LC features, require an API key or other credential. You may provide a credential only if you own it or have clear permission from its owner and the relevant platform. You must follow the provider's rules, scopes, rate limits, and security requirements.
The bot protects the stored ER:LC API key using authenticated encryption backed by a 256-bit master key, hides it after saving, and redacts it from configuration audit values. This reduces risk but does not make compromise impossible. You remain responsible for rotating a key if you believe it was exposed, limiting its permissions where possible, and removing it when the integration is no longer needed.
You may not use the Service to obtain, test, share, steal, scrape, or misuse another person's token, key, credential, session, or private-server access. X Systems may disable an integration or remove a stored credential when necessary for security, policy enforcement, or a valid owner request.
7. Your content and server records
You keep ownership of content you submit or control, including server configuration text, support messages, training notes, attachments, ticket messages, and other material, subject to the rights of Discord users and third parties.
You grant X Systems a limited, non-exclusive right to host, store, copy, transmit, format, analyze, and otherwise process that content only as reasonably necessary to operate, secure, support, and improve the Service, follow your instructions, enforce these Terms, and comply with law. This permission ends when the content is no longer needed for those purposes, subject to backups, security records, legal obligations, and copies controlled by Discord servers or other users.
You are responsible for ensuring that you have the rights and permissions needed to submit content and to configure the bot to process member information. You must not submit content that infringes intellectual property, privacy, confidentiality, publicity, or other rights.
Ticket transcripts and logs can contain statements from multiple people. You may not alter or publish them in a misleading, harassing, or unlawful way.
8. Acceptable use
You may not use, attempt to use, or help another person use the Service to:
- break any applicable law or court order;
- violate Discord, Roblox, ER:LC/PRC, OpenAI, or another integrated provider's terms or policies;
- send spam, scams, phishing, malicious links, deceptive promotions, or unwanted bulk messages;
- steal credentials, tokens, API keys, personal information, or account access;
- distribute malware, token grabbers, self-bots, denial-of-service tools, or code intended to damage or secretly control systems;
- harass, threaten, dox, impersonate, exploit, discriminate against, or endanger another person;
- collect or expose personal information without a lawful basis and appropriate notice;
- bypass permissions, rate limits, bans, security checks, feature limits, or access controls;
- probe, scan, reverse engineer, overload, disrupt, or interfere with the bot, dashboard, APIs, infrastructure, or another user's service, except where applicable law expressly permits security research;
- use automation to create abusive load, fake activity, fraudulent logs, or misleading records;
- use AI output to make unlawful or unfair high-impact decisions about a person; or
- use the Service in a way that creates a material risk to X Systems, users, Discord communities, providers, or the public.
Reasonable good-faith testing in a server you control is allowed, provided it does not affect other users or systems and complies with applicable rules.
9. Safety review and enforcement
We may investigate suspected abuse using account records, IP and login history, configuration, audit data, server identifiers, logs, error reports, relevant ticket or support content, and information provided by server administrators or platforms. Reviews should be limited to what is reasonably necessary for security, support, policy enforcement, or legal compliance.
Depending on the issue, we may warn a user, rate limit requests, disable a feature, revoke sessions, remove content or configuration, restrict a server, ban an account or IP address, preserve evidence, report conduct to a platform or authority, or suspend or terminate access. Immediate action may be taken without advance notice where delay could create risk.
We may retain limited records of bans, deletions, security incidents, or enforcement actions to prevent repeat abuse, resolve disputes, and comply with law.
10. Discord and other third-party services
The Service depends on third parties, including Discord, OpenAI, hosting and network providers, Roblox, and ER:LC/PRC services. Your use of those platforms is also governed by their own terms and privacy policies.
X Systems does not control third-party uptime, API changes, account actions, data practices, pricing, permissions, content, or decisions. A provider may limit or revoke access, change an API, delete content, or experience an outage. We may change or discontinue a feature when a third-party change makes continued operation unsafe, unlawful, technically impractical, or unreasonable.
11. X Systems intellectual property and feedback
The Service, website design, bot code, branding, documentation, original text, interfaces, and related materials belong to X Systems or its licensors. These Terms do not transfer ownership to you.
You may use the Service only through the access and functions we provide. You may not copy, sell, sublicense, impersonate, remove ownership notices from, or create a misleading competing version of X Systems materials unless you have written permission or applicable law clearly allows it.
If you voluntarily provide feedback or suggestions, you allow X Systems to use them without payment or obligation, provided we do not publicly identify you as the source without permission.
12. Availability, maintenance, and changes
We aim to keep the Service useful and secure, but we do not promise uninterrupted availability, a fixed feature set, or a service-level guarantee unless a separate written agreement expressly provides one.
We may deploy updates, perform maintenance, change limits, modify commands, update permissions, replace providers, move infrastructure, correct data, or temporarily disable features. Emergency security or abuse-prevention changes may happen without notice.
We may update these Terms. Material changes may be announced through the website, dashboard, Discord, or a renewed acceptance step. Continuing to use the Service after the effective date of revised Terms means you accept them, except where applicable law requires another form of consent.
13. Disclaimers
The Service is provided on an “as is” and “as available” basis. To the maximum extent allowed by law, X Systems does not guarantee that the Service will always be secure, uninterrupted, error-free, compatible with every server, or suitable for a particular purpose.
Automated moderation, permission checks, logs, AI replies, transcripts, summaries, verification, and third-party data can be delayed, incomplete, or wrong. Server owners remain responsible for reviewing important actions and keeping independent records or backups where needed.
Nothing in these Terms excludes warranties or consumer rights that cannot lawfully be excluded.
14. Limitation of liability
To the maximum extent allowed by applicable law, X Systems is not liable for indirect, incidental, special, consequential, or punitive loss; lost profits, revenue, reputation, opportunities, or data; server-management mistakes; moderation decisions; unauthorized actions caused by your permissions; AI output; or failures caused by Discord, OpenAI, Roblox, ER:LC/PRC, hosting providers, internet services, user devices, or third-party software.
Nothing in these Terms limits liability for fraud, deliberate misconduct, death or personal injury caused by negligence, or another liability that cannot legally be limited. Mandatory consumer protections remain in force.
15. Suspension, termination, and deletion
You can stop using the Service at any time and may remove the bot from a Discord server you control. Removing the bot stops new bot activity in that server but does not automatically delete messages, logs, transcripts, or records already stored in Discord or retained for security and legal purposes.
We may suspend or terminate access when reasonably necessary for a Terms violation, legal requirement, abuse, security risk, provider restriction, prolonged technical issue, or discontinuation of the Service. Where practical and safe, we may give notice or an opportunity to correct the issue, but we are not required to delay urgent action.
Account-deletion requests are handled under the Privacy Policy. Deletion may not remove records controlled by a separate Discord server owner, another user, Discord, or a third-party provider.
16. Governing law, disputes, and general terms
These Terms are governed by the laws of the Netherlands. If you are a consumer, mandatory protections and court rights available in your country remain unaffected.
Before starting formal proceedings, please contact us and give a clear description of the issue so both sides can try to resolve it. This does not remove any right to seek urgent relief or use a regulator, consumer body, or court where available.
If a provision of these Terms is found unenforceable, the remaining provisions continue to apply. A failure to enforce a provision once is not a waiver. You may not transfer your rights or obligations under these Terms without our permission; X Systems may transfer the Service or this agreement as part of a reorganization, sale, or transfer of the relevant business, subject to applicable law.
These Terms and the Privacy Policy are the agreement for the Service unless a separate written agreement expressly applies.
